Grey Matter Neurosciences is hiring an office manager for its Toronto office, acting as the central point of contact across employees, vendors, property management, IT and HR.

Grey Matter Neurosciences is a Toronto-based company developing interventional medical devices, working on focused ultrasound approaches to Alzheimer's disease.

About the role

This is a hands-on role for someone organised and approachable who enjoys everyday office support, employee logistics, vendors and records. You will be a central point of contact across the office, working with employees, leaders, vendors, property management, IT and HR, and helping set a positive tone for the office.

What you will do

  • Keep the office organised, stocked and ready for employees, visitors and meetings.
  • Coordinate office access, security procedures, visitor sign-in, mail, couriers, seating plans and meeting rooms.
  • Work with landlords, property managers and vendors on cleaning, repairs, maintenance, supplies and service renewals.
  • Support purchasing through quotes, purchase orders, expense tracking, invoice review and asset records.
  • Coordinate employee onboarding and offboarding logistics, including workspace setup, equipment and access.
  • Maintain records for policies, training, recruitment, vendors, equipment and compliance deadlines.
  • Support health and safety administration, including workplace postings, JHSC meeting coordination and inspection tracking.
  • Coordinate employee events, office communications and recognition activities.

What they are looking for

  • Post-secondary education in office administration, business administration, human resources or operations, or equivalent experience.
  • 2+ years in office administration, coordination, operations support, reception or HR administration.
  • Strong organisational skills and the ability to handle confidential information with discretion.
  • Ability to work on site in Toronto five days per week.
  • Nice to have: health and safety or JHSC administration, and familiarity with Ontario workplace compliance requirements.

The office is at Yonge Street and St Clair Avenue, with core hours of 9am to 5pm Monday to Friday.
